PROJECT OVERVIEW

A closer look.

Designed and developed as a configurable platform for small businesses, this system brings an AI assistant together with the tools around everyday work. Each client has its own AWS server and branded dashboard, with optional modules for customer records, email, calendars, documents, Instagram, company knowledge, texting, booking, and voicemail. Staff permissions and client settings determine which tools and actions are available.

01

A connected business workspace

Bookings can create CRM contacts, conversations can lead to document jobs, and supported modules share customer information and communication tools.

02

AI with defined boundaries

Specialist agents propose decisions. Application code validates and executes supported actions, with permissions, confirmation prompts, and human approvals for specified workflows.

03

Configured for the client

Branding, modules, integrations, and business information are configured per client. A responsive dashboard and installable PWA bring the workspace to phones.

BUILT INTO THE PLATFORM

Explore the working parts.

Open a capability to see how it supports the business.

01

AI assistant & company knowledge

A branded chat workspace connects staff with the tools and information they are allowed to use.

  • Streaming replies, specialist routing, conversation history, and file uploads with instructions.
  • Answers from company documents with source references and confidence indicators.
  • Searchable knowledge sources in platform storage or Google Drive, refreshed on a schedule.
02

CRM & customer history

Contacts, companies, and activity live in a shared record that other modules can update.

  • Contact types, tags, search, filters, CSV imports and exports, and archive/restore workflows.
  • Company records, linked contacts, company merging, and activity timelines.
  • Chat-driven contact updates and notes, plus contacts created from bookings and waitlist requests.
03

Email handling

An email agent evaluates a dedicated business inbox and routes messages for a reply, review, or no action.

  • Gmail, Google Workspace, or IMAP/SMTP connections, with paused, AI, and forward-only modes.
  • Optional automatic replies based on configured business information; draft replies can instead be forwarded to a person by email.
  • Thread context, escalation rules, categories, connection health, and an optional daily digest.
04

Calendar assistance

Staff manage their own iCloud calendars through plain-language requests.

  • Create, move, and cancel events; check availability and conflicts; prepare repeating events.
  • Confirmation prompts and approval steps for specified calendar actions.
  • Daily agendas and, when SMS is enabled, opted-in invitations, reminders, and text RSVP.
05

Booking, intake & follow-ups

A public booking flow connects customer appointments to a staff scheduling workspace.

  • Service and provider selection, available time slots, day/week/month views, and customer rescheduling links.
  • Configurable intake questions, document versioning, typed or drawn signatures, and signed PDF copies.
  • Optional repeating appointments and waitlists, plus reminders and follow-up sequences after completed visits.
06

Document generation

Turn rough notes, supported documents, or enabled voice briefs into formatted proposals, estimates, invoices, and filled PDF forms.

  • Template-based output, repeating line items, work-area subtotals, and totals calculated by application code.
  • Price checks against the supplied input, with Word/PDF or Google Drive output according to the storage setup.
  • Progress, input/output links, completion notices, and optional voice transcription.
07

Instagram publishing studio

Prepare image-informed captions and branded posts, with configurable owner review.

  • Image libraries, caption revisions, hashtags, carousels, Stories, and recurring folder schedules.
  • The platform-storage Studio adds one-off scheduling, a phone preview, video publishing, and a cover-frame selector.
  • Upcoming and published views, approval tied to the reviewed draft version, and attention states for uncertain results.
08

Two-way business texting

A Twilio-connected inbox supports conversations and messages from CRM, calendar, scheduling, and voicemail workflows.

  • Threaded conversations, delivery status, scheduled messages, and reusable templates.
  • CRM-selected campaigns with recipient-by-recipient delivery visibility.
  • Opt-out handling across modules, STOP/START/HELP processing, and review of uncertain delivery outcomes.
09

Voicemail & missed-call follow-up

Missed calls become records that staff can review, assign, and follow through.

  • Recordings, English transcripts, optional AI summaries and urgency classification, notes, and callback activity.
  • Optional delayed missed-call texts, scenario-based responses, and limited AI text follow-up with staff takeover.
  • CRM contact creation, after-hours reports, and a settings preview that does not send messages.
10

Administration & platform operations

Each business gets a branded workspace and its own AWS server, with modules configured for its needs.

  • Operator, business-admin, and staff roles; per-user agent permissions; MFA and account recovery.
  • Files, notifications, module analytics, health checks, and approvals for supported social and calendar actions.
  • Encrypted backups, monitored background jobs, versioned releases, and an installable mobile web experience (PWA).

HOW IT IS DELIVERED

The details that shape the experience.

Configured for each client

Optional modules, integrations, and automatic actions are enabled for the agreed workflow. Several features start paused or off; availability also depends on the storage mode.

Specific integration scope

The calendar assistant uses iCloud. Online scheduling is a separate booking tool; this version does not include online payments, deposits, or booking through chat.

A mobile web app

The dashboard adapts to phones and can be installed as a PWA with the business's icon. That is distinct from a native iOS or Android app-store release.
